It has arrived with several new changes as promised by Microsoft last year. The new functionality has been already tested on One Drive for Business. But, first understand, what is a document library?
A document library is a central location to create and store files so that it can be accessed easily by the shared resources. Users can effortlessly access the files anytime from any device. Learn more about Document Library.
What’s new in Document Library?
A more responsive and intuitive document library is offered by Microsoft to improvise the user’s experience. This would help the user in a better way to use the document libraries to share files in a collaborative approach.
Improved User Interface
SharePoint and OneDrive usability are combined - In the all-new document library, the user will be able to experience enhanced feature by combining both SharePoint and OneDrive usability. The new user interface has become more intuitive that offers the same experience as OneDrive. Now, you can find a trim command bar in place of the ribbon which offers the commands related to the active task. If you have customised the ribbon to map with business demands, then those options will be available in the command bar. The new update has got an improved document library to replace the earlier “Files” page.
Improved gestures of copy and move files – The functionality remains the same, however, you will feel the gesture of copying and moving files have become intelligent. This will allow creating folder easily.
Highlighted important documents – Now, a user can easily add the documents “above the fold” in any onscreen view by clicking on pin to top.
Import files – User does not require to copy files as the new Document libraries intelligently remember the files you have been using in SharePoint. Therefore, now your imported files will be displayed as links without creating another copy of the file. All the native files will have their thumbnails and metadata. Also, your recent files will be displayed.
Personalization
You can directly group all files in the same page without performing an additional action on a separate admin screen. The columns view can be adjusted accordingly and made available to others by Save View. The size of the columns ca be adjusted by simple dragging and can be grouped, filter and sort from any column header. SharePoint has got a responsive design which can be accessed at any device screen.
Metadata
It becomes easier to update files directly from the main view in the information panel. Even you can update the metadata by simply dragging and dropping files between the groups if the view offers files grouping by metadata.
Now browse the list of all your documents from the information panel with the availability of the Office Online integration. This panel will give the metadata information, including file updates, recent activity history and shared files details. You will get complete control on file sharing. Additionally, all file properties are displayed for further information.
Lots more improvements have been done in check-in/check-out, records management, content types, versioning, and workflows in the SharePoint.
Navigation
The new document libraries will have a header control at the top of the page that initiates a better content management process to group the files. With this control, now there will be only a single link to the group’s conversation and that could be used to navigate to the member management and calendar.
It is always essential to extend the capabilities of the business according to their custom needs by accessing the new functionalities in the software. Therefore, the SharePoint development companies should focus on a structured methodology to address the requirements of their customers followed by a complete testing process to ensure successful deployment.
